PREAMBLE

The Wesley Foundation of the University of North Carolina at Chapel Hill is a community of students whose purposes are:
A) To foster and support individual and spiritual growth within the Wesley Community
B) To promote a campus Christian movement
C) To witness to the mission, message, and life of Jesus Christ
D) To deepen commitment to Jesus Christ and the Church
E) To assist in the developing of service and leadership in the world and the Church


 

ARTICLE I. DESIGN TEAM


The Design Team is responsible for planning programs within and outside of Wesley. The Design Team seeks to provide opportunities for spiritual growth, service, and fellowship for the students of the Wesley Foundation.

SECTION 1. The Wesley Design Team shall consist of the following voting members:

              A) four duly elected officers

              B) five duly elected class representatives

              C) all committee coordinators

              D) the student Co-Chair of the Board of Directors

In addition, the Campus Minister and the Seminary Intern shall be ex-officio members with voice, but without vote.

ARTICLE II.  OFFICERS

Officers shall consist of President, Vice President, Secretary and Treasurer.

SECTION 1.  The President shall chair Design Team meetings, shall select committee coordinators, shall make announcements for Wednesday night meetings, and shall represent the Design Team on the Board of Directors.

SECTION 2. The Vice President shall serve to balance the duties of the President.  The Vice President shall serve as a third voice to the Executive Committee.  The Vice President shall assume responsibilities of the President at Design Team meetings in his/her absence and shall act as an interim President, until an election is held, in the event the elected President is unable to complete the term.

SECTION 3. The Secretary shall select committee coordinators, shall keep the minutes, shall give one copy of the minutes to the President, shall email them to the Design Team Members, shall keep accurate records of attendance at Design Team meetings, shall be responsible for and/or delegate all Design Team correspondence, including, but not limited to, thank you letters to speakers, letters of condolence, etc.

SECTION 4. The Treasurer shall select committee coordinators, shall receive and disperse Design Team funds, shall keep appropriate financial records, shall make regular reports to the Design Team, and shall return any funds to the Wesley Foundation Board of Directors should the Design Team disband.

SECTION 5.  The Student Executive Committee consists of the President, the Vice-President and the Student Co-Chair of the Board of Directors. The committee shall meet once per week as a committee with the Campus Minister throughout the academic year. The primary focus of this committee is to bring and unify energy and vision within the Wesley Foundation and the Design Team. They do this by:

·          Providing recommendations and proposals to the Design Team representative of the input of the students of the Wesley Foundation.

·          Assuming the responsibilities of the Program Coordinator as they are accountable for the overall supervision of Wednesday Programs and all other activities deemed by the Design Team as annual events. They will ensure leadership for the Retreats.

·          Integrating the roles, goals, and direction of the officers, class representatives, and committee coordinators.

·          Helping the Design Team to set overall goals and evaluating its effectiveness in reaching them.

·          Working to establish a greater relationship between the Design Team, the Board of Directors, University United Methodist Church, and the United Methodist Church at large.


 

ARTCILE III. CLASS REPRESENTATIVES


Class Representatives shall consist of one representative each from the freshman, sophomore, junior, and senior class, plus a graduate student, if applicable.

SECTION 1. Each representative shall regularly attend and participate in Design Team meetings and shall maintain active communication with the members of Wesley as whole, but particularly within their class community.

SECTION 2. Together, the representatives shall initiate and maintain sensitive and diligent outreach to active and non-active members. This may include, but not be limited to: Wednesday night interaction, personal correspondence and/or phone calls to newcomers, non-active members, and students abroad, and an overall conscientious effort to maintain an inclusive spirit within the Wednesday fellowship.


 

ARTICLE IV. ELECTIONS


Any participant of the Wesley Foundation may be nominated for an elected Design Team position.

SECTION 1. Elections shall have three ballots; the first shall be for the election of officers. Officer elections shall be held annually on the second Wednesday following Spring Break. A student may not be nominated for a class representative position if not elected to an office.

SECTION 2. Three class representatives will be elected from the second ballot. Elections shall be held on the fourth Wednesday following Spring Break. At the first Wednesday night meeting in October, one freshman and one graduate representative shall be elected.

SECTION 3. Election procedures for officers and class representatives shall be (a) Self-nomination and Peer-nomination shall be open at least one week prior to elections and shall be closed on election night for the four officers. (b) Peer-nomination: People recognizing gifts in someone that are suited for a particular position shall approach that person prior to nominations to discuss how he/she could use those gifts in the position and to allow the person to consider whether or not he/she desires to be nominated. (c) Upon the closing of nominations, each candidate for an office shall briefly describe why he/she feels called to this position. (d) After all speeches have been made for the designated office, voting by secret ballot shall commence. (e) Each student of the Wesley Foundation in attendance may vote, including outgoing seniors. (f) Candidates need not be present to be elected to office. (g) The candidate who received the highest number of votes shall be declared the winner. (h) After all votes have been tallied, all candidates will be notified and new officers shall be announced over email. (i) If a tie occurs in an elected office, a run-off shall be held. A maximum of only two-run off elections can be held. If a tie still occurs after that, then the remaining Design Team will vote at the next council meeting until a resolution is made. The President abstains from this vote unless there is an even number of council members present.


 

ARTICLE V. VACANCIES

 

SECTION 1. (a) Vacancies of elected officer and class representatives must follow election procedures of Article IV.(b)If the vacancy is the President, the Vice President will facilitate until the position is filled.

SECTION 2. (a) Vacancies of committee coordinators shall be announced to the Wesley Foundation whereupon members may express interest in filling the position. (b) Officers shall select people to fill the committee coordinator position vacancies.


 

ARTCILE VI. COMMITTEES

 

SECTION 1. Committees may be established by the discretion of the Design Team to meet interests and needs from year to year. Changes for the following year must be approved by Spring Break.

SECTION 2. Committee Coordinators will be selected according to the following procedures: (a) Committee positions, descriptions, and applications will be publicized as soon as approved by the Design Team. (b) Committee Coordinators will only be considered through a written application process. Applications must be submitted by the second Wednesday after Spring Break (Officer Election Night), even when also running for an elected office. (c) Committee Coordinators will be selected by all newly elected officers by the fourth Wednesday after Spring Break. (d) Committee Coordinators shall be selected to a position on the Design Team with voice and vote and will fulfill Design Team member duties.

SECTION 3. Any Wesley Foundation student is eligible to serve on any committee.


 

ARTICLE VII. MEETINGS

 

SECTION 1. Design Team meetings shall be scheduled regularly in accordance with most members’ schedules.

SECTION 2. Duties of each Design Team member shall be regular attendance and participation in Design Team meetings.

SECTION 3. Attendance will be reviewed periodically and action will be taken as necessary.

SECTION 4. A quorum shall consist of half of the Design Team members at an appropriately called meeting.

SECTION 5. All Design Team meetings shall be open to any member of the Wesley Fellowship with voice but without vote.


 

ARTICLE VIII. AMENDMENTS


These by-laws may be altered, amended, or repealed and new by-laws may be adopted by a majority vote of the Wednesday Night Fellowship group present at any Wednesday night meeting if at least one week’s notice is given of intention to alter, to amend, to repeal or to adopt new by-laws at such meeting. Any such amendment will be approved and presented by the Design Team prior to notice being given to the Wednesday night group.
